Understanding Document Statuses
Learn about the different statuses your documents can have in DocuSigner.

In DocuSigner, documents move through various statuses as they progress through the signing workflow. Understanding these statuses helps you track progress and manage your documents effectively.

Common Document Statuses

Here are the typical statuses you might encounter:

  • Uploaded (or Draft):

    The document has been successfully uploaded to DocuSigner but has not yet been sent for signature, or fields have not been fully configured. It's essentially a draft awaiting preparation or sending.

  • Pending (or Waiting for Signature / Out for Signature):

    The document has been sent to one or more participants and is awaiting their signature or other input. If there's a specific signing order, it might indicate whose turn it is to sign.

  • Signed:

    This status typically means that a specific signer has completed their action on the document. If there are multiple signers, the document might still be "Pending" overall until all parties have signed.

  • Completed:

    All designated participants have successfully signed or completed their required actions on the document. The workflow is finished, and the document is now fully executed.

  • Rejected (or Declined):

    A participant has actively declined to sign the document. They may have provided a reason for rejection. The workflow is stopped unless an admin or sender takes further action (e.g., voiding and resending).

  • Voided (or Cancelled):

    The sender or an administrator has cancelled the signing process before all participants could complete it. The document is no longer active for signing.

  • Expired:

    If an expiration date was set for the signing link or process, and that date has passed without completion, the document may move to an "Expired" status.

Where to Find Document Statuses

You can typically see the status of your documents:

  • On your main Dashboard, often in summary sections.
  • In the "My Documents" list (All, Pending, Completed, etc.). Each document card or row will display its current status.
  • Within the Document Viewer/Editor, usually in a header or information panel.

Notifications and Status Changes

DocuSigner usually sends notifications (e.g., email, in-app) when a document's status changes significantly, such as when it's signed by a participant or when it's completed. This helps you stay informed without constantly checking the platform.

Why Statuses Matter:

  • Tracking Progress: Easily see how far along a document is in the signing process.
  • Identifying Bottlenecks: Quickly identify documents stuck with a particular signer.
  • Timely Follow-up: Know when to send reminders if a document is pending for too long.
  • Record Keeping: Completed documents serve as your final, legally binding records.
